Hybrid Meetings: How to Offer In-Person, Video, and Phone From One Calendar

Written by Harish Kannan R | October 28, 2026

TL;DR

  • A hybrid meeting combines in-person and remote participation. For client-facing teams, it usually means letting each client choose to meet in person, by video or by phone.
  • The common mistake is keeping each format in a separate calendar or tool. That leads to double bookings, the wrong format on the wrong day, and in-person slots with no room free.
  • The fix is to attach locations to time blocks, not calendars. One calendar can offer video on Monday, in-person on Tuesday and all three on Friday afternoon.
  • In OnceHub, you assign video, phone or in-person locations to each time block on one booking calendar. Guests pick their format when they book, and if you connect your room directory, in-person slots only appear when a room is free.
  • This guide is based on OnceHub's webinar Top 5 Things to Know About Managing Availability, with Rami Goraly, Co-founder and CEO, and Aviram Hinenzon, Chief Go-to-Market Officer.

What is a hybrid meeting?

A hybrid meeting is a meeting where some participants are together in a physical location and others join remotely by video or phone. The term is used in two related ways:

  • A single meeting with mixed attendance. Three people sit in a conference room while two join by video.
  • A hybrid meeting model. A business lets each client or prospect choose how to meet: in person, by video or by phone.

This guide focuses on the second meaning, because that is where scheduling gets hard. For client-facing teams such as financial advisors, consultants and professional services firms, a hybrid meeting model means offering every client the format that suits them without running a separate schedule for each one. The guide also covers how to run the first kind well, since the two often go together.

Why do client-facing teams offer hybrid meetings?

Because clients split on how they want to meet. Some want a face-to-face first meeting, some want a quick video call between other commitments, and some would rather talk by phone from the car.

The data shows the split clearly. In AdvisorFinder's State of Advisor Discovery 2025, 40% of prospects looking for a financial advisor preferred mostly virtual meetings with occasional in-person ones, 25% preferred virtual only, 20% preferred in person and 15% wanted an equal mix. Separately, research from the Million Dollar Round Table found that nearly 70% of consumers prefer in-person or hybrid communication with their financial advisor.

No single format wins, so offering all three helps in practical ways:

  • More bookings. A prospect who can't come to the office this week may still book a video call.
  • Better first impressions. You can reserve in-person time for the meetings where it matters most, such as first consultations.
  • Better use of your time. Video and phone meetings remove travel time from your day.
  • Wider reach. Clients outside your area can still meet you.

The challenge is offering that choice without the schedule turning into a mess.

The three-calendar problem

Many teams start by creating a separate booking link or calendar for each format: one for in-person, one for video, one for phone. It seems tidy, but it breaks in predictable ways:

  • Double bookings. If each format lives in a separate tool or calendar that isn't connected to the others, each can sell the same hour.
  • The wrong format on the wrong day. You're working from home on Monday, but your in-person calendar still offers Monday slots.
  • No room when the client arrives. The in-person booking was confirmed, but the conference room was already taken.
  • Three times the maintenance. Every change to your hours has to be made in three places.

The webinar's first recommendation addresses exactly this: stop maintaining separate calendars per location, and build one availability setup that reflects how you actually work.

How do you offer in-person, video and phone meetings from one calendar?

1. Attach locations to time blocks, not calendars

Decide where each block of time can be used, and let one calendar handle all three formats.

In OnceHub, you set meeting locations as part of your weekly or date-specific availability, by selecting the location icon next to each time block. You can offer several locations in the same block and let the guest choose.

OnceHub supports three location types:

  • Video conferencing through connected tools such as Zoom or Google Meet, with either a unique link for each booking or one static link for all bookings. The link is added to the calendar event and the notification emails automatically.
  • Phone, where you call the guest on the number they provide. Guests are prompted for their phone number when they book.
  • Physical locations, either addresses you define, with several offered in the same time block, or an address the guest provides.

A practical weekly pattern looks like this:

Day

Morning

Afternoon

Monday

Video

Video or phone

Tuesday

In person, main office

In person, main office

Wednesday

Phone

Thursday

In person, second office

Friday

Any format

What the guest sees. When a time block offers more than one location, the guest picks a time and then chooses their preferred location before confirming, so the format is always a deliberate choice. OnceHub also includes an "Any Location" option that combines availability across all the locations you offer.

Try it on your own calendar: location-based time blocks are on OnceHub's free plan. Set up your first hybrid calendar in minutes.

2. Tie in-person slots to real rooms

An in-person slot is only real if there's a room free.

OnceHub can sync with your Microsoft 365 or Google Workspace room directory. You create a location, attach its rooms, and OnceHub reads each room's busy time so it won't offer a slot when no room is free.

  • Single room: every booking at that location goes into one room's calendar.
  • Room pool: each booking is assigned to whichever room in the pool is free.

Either way, the booking is added to the room's calendar automatically, so nobody has to reserve the room by hand. Room scheduling is on the Route plan and above, and only administrators can manage Locations and Rooms.

Keep hybrid availability accurate

Formats change week to week, so your availability has to keep up without constant edits. Three settings handle most of it:

  • Date-specific overrides. Locations can be set on date-specific availability too, so an override can remove the office location for a travel week while video stays on. When the week ends, your normal pattern returns on its own.
  • Booking calendar availability. Your profile availability holds your standard routine, and each booking calendar can carry its own hours and formats, such as in-person onboarding only on Tuesdays and video check-ins all week.
  • Approval and capacity. Booking with approval lets you review in-person requests that tie up a room or require travel. The Capacity Planning report shows, hour by hour, which time slots are filling up, so you can add availability or hosts before clients find no open times.

For the full detail on profile availability, busy and free events, overrides and approval, see our guide to availability management in scheduling.

How do you run the meeting itself?

Scheduling gets the right people to the right place. A few habits make each format work once the meeting starts.

In person

  • Send the address, parking and arrival details in the confirmation, not a separate email.
  • Leave a buffer after in-person meetings for walking clients out and resetting the room.

Video

  • Use a unique link for each booking when privacy matters, and a static link only for internal or recurring sessions.
  • Test audio and screen sharing before client meetings, not during them.

Phone

  • Confirm the number you'll call, and call on time. A phone meeting that starts late feels more disorganized than a late video call.
  • Send any documents you'll discuss before the call, since the client can't see your screen.

Meetings with people in the room and on video

Mixed meetings tend to favor the people in the room. Read AI's analysis of 159,870 meetings found that in-person attendees speak about five times more than remote participants in hybrid meetings. And in Owl Labs' State of Hybrid Work 2024, 57% of employees said they were more likely to ask the opinion of colleagues they physically work with than remote ones.

  • Share the agenda, the room location and the video link with everyone in advance.
  • Make sure remote participants can hear the room clearly. Use a room microphone, and have people in the room introduce themselves before speaking.
  • Ask remote participants for input directly, since they can't easily break into an in-room discussion.

Example: a three-advisor practice

A financial advisory practice with three advisors and one office wants clients to choose how to meet.

  • First consultations are in person on Tuesdays and Thursdays, tied to the office's two meeting rooms as a pool.
  • Annual reviews can be any format, on Wednesdays and Friday afternoons.
  • Quick check-ins are video or phone only, any weekday morning.
  • Each advisor reviews in-person requests from new clients before they're confirmed.

Each advisor has one booking calendar per meeting type, not one per format, which needs a paid plan: the free plan covers one user and one booking link. A client booking an annual review sees every open slot and picks in person, video or phone. When an advisor attends a conference, a date-specific override removes in-person slots for that week without touching anything else.

How to set up hybrid meetings in OnceHub

  1. Connect your calendar and video tools. Connect Google, Microsoft 365, Exchange or iCloud, and your video conferencing tool, such as Zoom, Google Meet, Microsoft Teams, GoToMeeting or Webex.
  2. Set your profile availability. Enter your standard weekly hours.
  3. Assign locations to each time block. Choose video, phone, physical locations or a mix for every block, in your weekly or date-specific availability.
  4. Connect your rooms, if you meet in person at an office (admin only; Route plan and above). Add a location in Locations and Rooms and connect your Microsoft 365 or Google Workspace room workspace.
  5. Create a booking calendar for each meeting type, with its own availability where needed, such as VIP hours or in-person-only onboarding.
  6. Turn on booking with approval for meetings that need a check.
  7. Review capacity regularly, and add availability where calendars are filling up.

Booking by phone is different from phone meetings. OnceHub Phone Agents give your booking calendar a dedicated phone number and use the same scheduling logic as your booking links, so clients can book by calling instead of clicking. The meeting itself can then be in person, by video or by phone.

Which plan you need: location-based time blocks and booking with approval are available on every plan, including the free plan. The Capacity Planning report starts on the Schedule plan, Phone Agents start on the Schedule plan, which includes one number, and room scheduling with room directory integration is on the Route plan. See OnceHub pricing for details, or start a 14-day free trial of the Engage plan, with no credit card needed.

Frequently asked questions

What is a hybrid meeting?

A hybrid meeting is a meeting where some participants are together in a physical location and others join remotely by video or phone. The term also describes a hybrid meeting model, where a business lets each client choose whether to meet in person, by video or by phone.

How do you run a successful hybrid meeting?

To run a successful hybrid meeting, schedule each format from one calendar, tie in-person slots to an available room, and send every participant the details they need, such as the address or the video link. During the meeting, make sure remote participants can hear the room and are invited to contribute.

What equipment do you need for a hybrid meeting?

For a hybrid meeting with people in the room and online, you need a camera that shows the whole room, a microphone that picks up everyone in it, speakers loud enough for remote voices, a screen for remote participants and shared content, and a reliable internet connection. Test them before the meeting starts.

Do I need separate calendars for in-person, video and phone meetings?

No. You can offer all three from one booking calendar by assigning a location to each time block. In OnceHub, you can offer several locations in the same block and let the guest choose, which avoids double bookings across formats.

Can clients choose between in-person, video and phone when they book?

Yes. In OnceHub, when a time block offers several locations, the guest picks a time and then chooses their preferred location before confirming. Video links are created automatically, phone meetings prompt the guest for a number, and in-person meetings show the address.

What is the best scheduling software for hybrid meetings?

The best scheduling software for hybrid meetings lets guests choose their format, keeps every format on one availability, and checks that a room is free for in-person slots. OnceHub sets the location on each time block of a single booking calendar, checks Microsoft 365 and Google Workspace room calendars before offering in-person slots, and supports booking with approval.

How do I make sure a room is free for in-person meetings?

Connect your Microsoft 365 or Google Workspace room directory to your scheduling tool. In OnceHub, rooms are attached to a location, and OnceHub reads each room's busy time so it only offers in-person slots when a room is free, then adds the booking to the room's calendar.

How do I handle a week when I can't meet in person?

Set a date-specific override for that week instead of changing your recurring hours. In OnceHub, overrides can also change locations, so you can remove the office location for that week and keep video available. Your normal schedule returns automatically afterward.
