Many customers have reached out to us the last few weeks, talking virtual meetings. How do they switch their face-to-face meetings in OnceHub to Zoom meetings or other video conferencing options?
ScheduleOnce seamlessly integrates your booking activities with your video conferencing app, covering all phases of the booking lifecycle, including cancellation and rescheduling. Video conferencing details are included in all ScheduleOnce notifications.
Each booking includes a unique link for joining the video meeting and, if configured, its own meeting password (always recommended, to secure your meeting from unexpected visitors).
If you’re booking a session with multiple people involved, the integration also supports group sessions. Whether you’re booking a webinar, a three-person session at reduced price, or an open lecture with limited slots, it’s easy with our native video conferencing integration. Each person receives the same meeting ID, password, and link to join, while their data is kept private from everyone else.
If you’re offering session packages at a reduced price, allowing your customer or client to book multiple sessions at once, this is also fully supported.

Transitioning to video meetings in OnceHub
If you’ve been using ScheduleOnce to book face-to-face meetings and would like to switch to video meetings instead, the steps are simple. It’s a matter of minutes to transition from one to the other:
- Connect to our native video conferencing integration.

- Configure your Booking page(s) to use video conferencing.
Every Booking page can offer a different location, whether virtual or physical. You’ll want to set up a virtual location and follow the steps to specify your video conferencing integration. Learn more

When a booking is made, video conferencing session details are integrated with all ScheduleOnce notifications and a video conferencing session for Zoom, GoToMeeting, or WebEx will be created automatically.
Your customer will receive all connection details in the scheduling confirmation page, in the scheduling confirmation email, and in the calendar invite.

Provide your own conferencing information
Don’t have one of the supported integrations? We expect to expand our native video conferencing integrations in future, so let us know if you have any preferences.
In the meantime, our Location section allows you to customize your Booking page to offer your own video conferencing information. This is relevant if you use a static link; for instance, www.myvideoapp.com/mylink.
However, please keep in mind that using your own static link is less secure than our native integrations, as it won’t create a unique link for each individual meeting or set a meeting password, two settings highly recommended to secure your meetings from unexpected visitors.
When someone makes a booking, they will be notified that this is a virtual meeting and they will receive your static link in the scheduling confirmation page, in the scheduling confirmation email, and in the calendar invite.
